FlowShipZ. A Brand of Empyron Ventures Private Limited. (“Company”, “we”, “us”) operates the FlowShipZ logistics and shipping technology platform.

Depending on how you interact with the Platform, we may collect the following categories of information:

2.1 Account & business information

• Full legal name, business name, GSTIN, PAN (where applicable), billing address, pickup addresses, and warehouse details.
• Email address, mobile number, and account credentials.
• KYC documents submitted for account verification and compliance.

2.2 Shipment & operational data

• Order details, AWB/LR numbers, consignee name, address, phone number, and package dimensions/weight.
• Tracking events, delivery status, NDR/RTO records, and proof-of-delivery where available.
• Communications with our support team regarding shipments, billing, or disputes.

2.3 Payment & financial information

• Wallet balance, recharge history, invoices, COD remittance records, and transaction references.
• Payment method type and last-four digits or UPI/bank reference identifiers provided by our payment partners.
• We do not store complete debit/credit card numbers, CVV, or PIN on our servers. Card and net-banking payments are processed by RBI-authorised payment gateway partners over encrypted channels.

2.4 Technical & usage data

• IP address, browser type, device identifiers, operating system, and log files.
• Pages visited, features used, session duration, and error diagnostics for security and performance.
• Cookies and similar technologies as described in Section 8.

3. How we use your information

We use personal and business data for legitimate purposes including:

• Creating and managing your merchant account and authenticating access.
• Processing shipments, generating labels, coordinating with courier partners, and displaying tracking.
• Processing wallet recharges, billing, invoicing, refunds, and COD settlements.
• Preventing fraud, abuse, chargebacks, and unauthorised transactions.
• Providing customer support and resolving disputes.
• Complying with applicable laws, tax regulations, and lawful requests from authorities.
• Improving Platform reliability, analytics, and user experience (using aggregated or anonymised data where possible).
• Sending service-related communications (account alerts, shipment updates, policy changes). Marketing communications are sent only where permitted and with opt-out options.

4. How we share information

We do not sell your personal data. We may share information with:

• Courier & logistics partners — to pick up, transport, and deliver shipments (consignee details, addresses, contact numbers).
• Payment gateway & banking partners — to process recharges, refunds, and settlements securely.
• Technology & cloud service providers — hosting, email, SMS/WhatsApp notifications, and analytics under contractual confidentiality obligations.
• Professional advisers & auditors — where required for compliance, legal, or accounting purposes.
• Government & law enforcement — when required by applicable law, court order, or to protect rights, safety, and Platform integrity.
• Business transfers — in connection with merger, acquisition, or restructuring, subject to continued protection of your data.

5. Data security

We implement reasonable administrative, technical, and physical safeguards designed to protect your information, including access controls, encryption in transit (HTTPS/TLS), and restricted access to production systems. Payment card data is handled by PCI-DSS compliant payment processors. No method of transmission or storage is 100% secure; you are responsible for maintaining the confidentiality of your account password.

6. Data retention

We retain information for as long as your account is active and as needed to provide services, comply with legal obligations (including tax and accounting records), resolve disputes, and enforce agreements. When data is no longer required, we delete or anonymise it in accordance with our retention schedule and applicable law.

7. Your rights

Subject to applicable law (including the Digital Personal Data Protection Act, 2023, where applicable), you may have the right to:

• Access and obtain a copy of personal data we hold about you.
• Request correction of inaccurate or incomplete data.
• Request deletion of data where legally permissible (certain records may be retained for compliance).
• Withdraw consent for optional processing (e.g. marketing) without affecting lawfully processed service data.
